Document Scanning and Archiving

Convert physical documents into organized, searchable digital files for easier storage, access, and project coordination.

Digitized files make it easier to organize records, access information quickly, and reduce the challenges that come with managing physical storage.

Turn Physical Documents Into Usable Files

Paper documents take up space and are difficult to manage, especially as projects grow or files accumulate over time.

Scanning makes it easier to store, organize, and retrieve information when you need it. Files can be shared across teams, accessed remotely, and backed up to reduce risk.

What We Can Scan

We handle a wide range of large-format and standard documents.

Architectural Plans

Engineering Drawings

Maps

Large-format Documents

Photos and Visual Records

General Business Files

If you have something unique, send it over and we’ll take a look.

Organized for Easy Access

Scanning is only part of the process. Organization is what makes those files useful.

We can structure your files so they are easier to sort, retrieve, and manage once they’re digitized. Whether you need a simple folder system or a more detailed setup, we’ll match how your team actually works.

Scanned files can be indexed upon request. Most projects are delivered as organized PDF files within labeled folders or separated into individual files depending on how you need them structured.

Searchable PDFs (OCR) are also available.

Output and File Options

Once your documents are scanned, you can choose how you want to receive and store them.

Common output formats include:

  • PDF
  • TIFF
  • JPEG

Files can be delivered through:

  • Email
  • Secure file transfer
  • USB or external drive
  • CD or DVD

Protect and Preserve Important Documents

Over time, physical documents can fade, tear, or get lost. Scanning creates a reliable backup so your files are preserved and accessible when you need them.

This is especially important for:

Long-term project records

Historical plans

Documents that are used frequently

Free Up Space and Simplify Storage

Physical storage takes up room and can become difficult to manage.

Digitizing your files allows you to reduce clutter, free up space, and maintain a more organized system without losing access to important documents.

Simple, Fast Process

Getting started is straightforward. We keep the process clear so your documents move from physical to digital without unnecessary delays.

1

Share Your Project Details or Bring in Your Documents

Let us know what you need scanned or bring your materials to our team.

2

We Review and Confirm Scope

We go over document types, volume, and how you want files organized and delivered.

We also review originals and files for organization needs, formatting concerns, and delivery preferences before processing begins.

3

We Scan and Organize Your Files

Your documents are scanned, organized, and delivered in a format that works for your team.

Preparing Your Documents

Before bringing in your materials, it helps to have a general idea of what you want scanned and how you’d like the files organized.

  • Group documents by project or type if possible
  • Remove bindings or fasteners that may affect scanning
  • Identify any files that need specific naming or organization

If you’re unsure, we can walk through it with you and recommend an approach that fits your workflow.

Turnaround Times

Turnaround depends on the volume and size of the documents, but most scanning projects are completed efficiently once everything is reviewed.

Smaller scanning projects are often completed quickly, while larger archival or high-volume scanning projects may require additional turnaround time depending on document quantity and organization requirements.

Rush timelines may be available depending on project size, document condition, and delivery requirements.

If you’re working on a timeline, we’ll go over expectations with you before getting started.

Delivery Area

We serve Fargo, Moorhead, and the surrounding region.

Documents can be dropped off at our Fargo location, and pickup can also be arranged through local courier service depending on the project.

Local delivery is available throughout the Fargo-Moorhead area through courier service, and shipping is available nationwide through UPS, FedEx, and USPS when needed. Same-day and scheduled delivery options are available depending on project timing and volume.

On-site scanning is not currently offered.
